Learn to Synchronize Your cPanel Webmail Mail with Gmail – In a Few Steps

The good news is that there is a quick and easy solution to make your life much easier.

By linking your cPanel Webmail to your Gmail account, you can access all your emails in one place, saving you time and hassle.

This is especially useful for those who have created a professional email account in cPanel, but want to manage it through Gmail since the latter is easier to use.

In this article, you will learn through simple steps, how to link your Webmail with Gmail, as well as activate a fast synchronization that allows you to speed up the management of your email and be more productive.

How to Configure Your Webmail Mail to Receive Your Messages in Gmail?

For this purpose, it will be necessary to have a Webmail email account with your own domain and another in Gmail from which you want to manage messages. Now, go to your Gmail account and click on the gear button located at the top right.

Then, choose the Accounts and import tab, locate in the lower area, the section called Check email from other accounts and click Add email account. Next, a dialog window will open in which you must enter the name of the Webmail email you want to synchronize and then click Next.

On the next screen, the system will offer you by default to import emails from the other account via POP3, so leave that option activated and click Next.

Now, you will have to add the username, which is actually the full name of your Webmail account, in the form name@yourdomain.com, include the password in the respective field.

At the bottom of the dialog window you will see several options. The first one says "Leave a copy of the retrieved message on the server."

If you check this box, all emails will remain in both accounts. This is good on the one hand because you will have double backup, however it can take up server space that you will need for other things such as processing speed on your website or a limitation on your hosting account. It is suggested preferably "avoid leaving a copy on the server".

The next option allows you to use a secure connection to retrieve email messages. But, this is especially useful when both sides are using secure connections, so you can leave it disabled.

The next option “Label incoming messages” you will only have to activate it if you will receive emails from other accounts in the Gmail account and you need to identify which ones come from your Webmail account.

And finally, “Archive incoming messages” if you want all of them to go to a folder of this mail. But, if it is an exclusive account to operate the Webmail mail, it is not necessary.

Now, click on Add account. You will see a notice that says You can now retrieve the mail from this account. You can now close the dialog window.

How to Configure Your Gmail to Send Your Professional Emails as if you were doing it from Webmail?

Go to the Send As section of the Accounts & Import tab of your Gmail account. Now click on the Add another email address link.

A new dialog window will appear in which you must include the name you want to give this account as well as your email in the form name@yourdomain.com. Then click on Next Step.

Next, it will ask you for the name of the server that should already be included by default in the window, add the full email address in the Username field, the password in the respective field and click on Add account.

In the next window you will have to add a verification code that will reach your Webmail email account. Go to Webmail and locate this email to copy the code and paste it into the field of the Gmail dialog box.

Consider that the code may take a few seconds or minutes to arrive.

When you include the code in the Gmail dialog window, click on the Verify button.

If there are no errors in the inclusion of the code and other data, the dialog window will close and the Send as section of the Accounts and import tab will include the Webmail you just provided.

Right next to your Webmail email account, the Set as default link will appear. Click there to send emails with your professional email address by default.

Quick Synchronization of Webmail and Gmail

One of the disadvantages of linking email accounts in the manner described in the previous paragraphs is that messages can take up to hours to arrive in your Gmail account. Alternatively, you can install the Gmail POP Sync Chrome extension.

To install it, you just have to access the Gmail POP Sync extension from the Chrome browser window where you have your Gmail account open and click on the Add to Chrome button.

Then, a confirmation dialog window will appear. Click on Add extension.

Once added, an Upgrade button with a geolocation symbol will appear in your Gmail account, right next to the gear button at the top right.

Thanks to this extension, your Gmail email will be synchronized frequently and you will be able to have the information up to date without waiting so long or having to access the server to check if email has arrived or not at Webmail in case of emergency.
